Your multiple-use mobile phone can do so much more than make phone calls, and deliver and receive emails. Now your PDA can be a digital dictation device with Winscribe’s Pocket Author software.
Download the free software by clicking here. Click on RUN and the application will be intalled on your PC and linked to Active Sync. When you next connect your mobile phone to your PC the dictation program will be installed on it.

Nationwide Solicitors Alliance - outsourcing and digital dictation an added benefit
October 21, 2008
The inaugural meeting of Nationwide Solicitors Alliance (NSA) on 16 October discussed the challenges faced by small and medium sized firms: competing for commoditised services, rising cost of PI premiums and brokerage of work by panels to name just a few.
It may sound all doom and gloom but two people, Steve Battarbee and Tracy Thompson, who put their heart and soul into forming the NSA, have come up with some very real and positive answers to these challenges. They’re taking on the “big gun high volume firms” with hi-tech marketing and joint initiatives, they’re working with insurance companies to reduce PI premiums and they’ve recruited a support network of valuable sponsors to help them and their members.
Document Direct is supporting NSA members to be more profitable, work smarter and maintain their high standards and excellent service to their clients. Installing a digital dictation system will do three things:
- make distributing and prioritising the dictation easier, work is produced more efficiently, by fewer secretaries;
- make dictation is easy to outsource which is less costly than in-sourcing (bringing in temps and recruiting).
- make working from home, from a mobile or any internet computer possible and provide a real flexible workplace and flexible work times.
But people don’t like change! We understand this and work with lawyers - and their secretaries - so that a digital dictation system and outsourcing are integrated into current working systems and practices as painlessly as possible.
If you already have a digital dictation system then it’s more than likely compatible with outsourcing to Document Direct.
If you don’t already have a digital dictation system then we can advise on the best and most cost effective solution for you and your secretaries. However, if you don’t want to spend money and invest in your own dictation system, then why not make use of our system free of charge. You can still outsource your dictation, maintaining the highest support and service to your clients, with the minimum in-house secretarial cover.
At the very least, Document Direct can help you reduce your spend on temporary cover for holidays and sickness as we offer a pay as you use service with no minimum subscription.
All NSA members will receive an additional 10% discount on our services - simply quote your membership number to us.

PC-free file transfer
October 6, 2008
Let’s face it, installing software can be a right pain, especially when there’s compatibility issues with different computers and versions of Windows. The innovative Philips LAN Docking Station adds an entirely new dimension to PC-free file transfer. It allows dictations to be transferred via LAN from the Digital Pocket Memo directly to the transcriptionist, whether local or outsourced. Free of geographical constraint: dictations can be sent to any destination, whether to the room next door or anywhere in the world. There is no need to connect the docking station to a PC, no need for software, and only minimum user training is necessary. It can also be set up and maintained via remote configuration. Encryption and password protection on the Digital Pocket Memo ensure that dictations can be sent securely over the company network or the Internet.

BigHand systems are helping increase profitability
July 24, 2008
The current economic climate is an opportunity for firms to look at their systems and ways to improve profitability and save costs.
Moving from stage 1 digital dictation, the simple transportation of dictation from fee earner to secretary, and onto stage 2, managing workflow, means firms can allocate their dictation to a larger pool of available secretaries. The “Big Brother” type technology means all work is visible and gone of the days when a secretary would sit and twiddle fingers with nothing to do. The benefit of workflow systems means it is now possible to analyse the type of work being dictated by individual fee earners and how individual secretaries perform.
BigHand’s recent press release gives some amazing statistics from some of their larger clients, for example, Venters Solicitors have saved £50,000 in only 12 months.
You can download BigHand’s press release by clicking here.
Of course, it goes without saying that being able to outsource typing will bring a huge cost benefit to firms. A good legal secretary is an unqualified fee earner and outsourcing the typing not only helps those secretaries be more productive but also improves services to client with faster turnaround times of documents.
